Poster Presentation Guidelines

Once again, both hard and soft copy posters will be displayed. Please read through the information below carefully and ensure you complete all tasks by the allocated deadline.

Poster Numbers

Poster numbers will be allocated in May, following the early bird deadline.

Hard Copy Posters

Posters are to be in-place by 10.30 am on Monday 20 July 2026 and will be displayed for the duration of the conference in the exhibition hall, Hall 1, Darwin Convention Centre. Access to the poster boards will be available from 05.00 pm on Sunday 19 July 2026

Hard copy posters should be printed in “AO Portrait” (1,189mm high x 841mm wide). Presenters are required to bring their own hook-and-loop velcro for attachment to the board (double sided tape or blu tac are not suitable).

Poster walk around sessions will take place during the lunch breaks on both Monday and Tuesday of the conference.  During these sessions, please stand by your poster should delegates have any questions about your research.

Monday 20 July, 1.00pm - 1.30 pm
Odd Number Poster Authors to stand by their posters

Tuesday 21 July, 1.15pm - 1.45 pm
Even Number Poster Authors to stand by their posters

Posters must be removed by the end of lunch on Wednesday 22 July 2026. Any posters not removed by 1.30pm will be disposed of by the exhibition build company.

Digital Posters

Your poster will also be displayed electronically. Please upload your single page PDF to the following Dropbox: https://www.dropbox.com/request/y2mNsQHdNgYpSAfXRY52

Your digital poster will be included in a resource gallery, accessible through the RMSANZ 2026 conference app, alongside a copy of your abstract.

All digital poster files must be submitted via the Dropbox link above by Tuesday 7 July 2026. Any submissions received after this deadline will not be confirmed. If you have any questions relating to your digital poster submission, please contact the Conference Secretariat

Local Printing Company: Copytime

If you wish to have your poster printed locally, you can do so through Copytime. The cost is AU$70 per A0 poster (The retail ‘one off’ price is $90 per poster, RMSANZ 2026 delegates receive almost 25% off).

Posters will be printed on high quality 170 GSM matt high white art paper designed to bring out graphs & photos.

Please ensure you reference ‘RMSANZ 2026’ in the subject line to access the discount, and ensure your poster gains priority so it is printed on time. Payment to be made to Copytime directly on collection. Printing deadline is Wednesday 15 July.

Posters will need to collected from Copytime by the author, a short walk from the waterfront - located toward the back of The Voyage Arcade 8/38 Smith St Mall, Darwin City. Copytime is not open on Sundays, but is open on Saturday from 9.00am - 1.00pm and then reopens at 8am and closes at 5pm Monday - Friday.

RMSANZ or DCC&A take no responsibility for poster printing, it is the authors responsibility to ensure they collect and display their posters.

Poster Prize

The RMSANZ Poster Prize is awarded to the best poster by a trainee or AFRM Fellow in their first year of Fellowship. The prize is $1,000 and a certificate and the winner will be announced on the last day of the Scientific Meeting, on Wednesday 22 July 2026. Please note, only hard copy posters will be judged and considered for the prize.

Registration

All presenters must register by the early bird registration deadline of Tuesday 26 May 2026, for their presentation to be included in the program.

A personalised registration link will be sent to all poster presenters, once registrations open.

A reminder no funding or discounted registrations are available for submitted abstracts authors.

Please note, even if you choose to only display an electronic copy of your poster you must still register and attend at least one day of the conference.
